RULES FOR IMC CHAMBER OF COMMERCE AND INDUSTRY LADIES’ WING EXHIBITIONS (FOR PARTICIPANTS)

Objectives of the Ladies’ Wing Annual Exhibition:-

1. To encourage a spirit of entrepreneurship in women by giving them an opportunity to design, display and market their products under the Wing's umbrella.

2. To encourage NGOs, especially those that work for the upliftment of women.

Rules for participation in the IMC Ladies’ Wing Exhibitions

1. The Exhibition is exclusively for Women Entrepreneurs (no men are allowed to participate), who do not have retail outlets/stores in Mumbai. Overseas and outstation applicants can participate even if they have retail outlets/stores.

2. The application for participation should be made by the women entrepreneur herself along with applicable registration fees, which are non-refundable. Proxies, in any form, will not be permitted.

3. Participants selected for the Exhibition will not be allowed, to participate or display, exhibit or market their products in any other exhibitions or private shows to be held in Mumbai, two months prior to the Exhibition. They will not be allowed, to participate under any other brand name or sell their products (under the same product category) through their relatives/clients in other exhibitions in Mumbai.

4. The Woman Entrepreneur will have to be present, herself, at the stall during the 2 days of the Exhibition.

5. The stalls allotted to participants cannot be used by them to showcase merchandise of other parties.

6. The products exhibited should be similar to what was shown at the time of screening by way of finish, pricing and quality and suggestions made during screening must be followed.

    a. Minimum 15 products should be brought during the screening; the products should be well presented and should have proper price tags

    b. Applicants should be personally present and bring their own helpers during the screening. Overseas and outside Mumbai applicants may not be personally present but you should ensure that your helpers are present to assist in the screening.

    c. Only overseas and out of Mumbai applicants can send their products by courier at their cost. They should also arrange to get their products picked up by the ‘To-Pay Courier’ after the screening. IMC Ladies’ Wing will not be liable to pay any courier charges nor will it be responsible for any damage or loss of the products.

7. Matters related to screening and selection of participants is at the sole discretion of the Exhibition Committee. After the selection process, the short-listed participants shall be intimated through a formal letter that they have been selected.

8. The selected participant has to pay the participation fees on or before the date mentioned in the allotment letter. If there is a delay in the payment within the prescribed time, the Exhibition Committee has the discretion to allot the particular stall to another applicant.

9. If the selected participant chooses to withdraw her application, the same must be informed within a week’s time from the time of being intimated of allotment. .

10. The participation fees are totally non-refundable..

11.The stalls/tables and other spaces will be allotted by drawing lots by the individual participants or their representatives, in order to maintain transparency and fairness. No request for change will be entertained nor will any part of the participation fee be refunded if the allottee is dissatisfied with the stall allotted and wishes to cancel the allotment.

12.Further on the day of the stall set-up, if any stall needs to be shifted from the earlier location which had been allotted, due to unforeseen circumstances, the Exhibition Committee may request the allottee to accept the stall at a new location as may be available. The allottee will accept the stall allotted to her in the new location, without complaint. If however she chooses not to accept the stall in the new location and to cancel the allotment, the participation fees will not be refunded.

13.Feed-back sheets shall be circulated during the Exhibition to the participants.

14.All participants should make provision for Credit/Debit Card payment/POS facility and should be registered under GST. Under no circumstances will the IMC Ladies’ Wing be responsible for any breach by the participant of this Rule or for its consequences.

15.IMC Ladies’ Wing life members shall be given priority for participation both in the Exhibition in Mumbai and elsewhere, provided they meet the quality standards. In fact, all participants shall be requested to become life members of the Ladies’ Wing.
However, if Exhibition Committee decides to allow non-members to participate, differential fees for life members and non-members shall be fixed with fees for life members being approximately 15% less than the fees being charged to non-members.

16.No participant will be allowed to take part in the Exhibition for more than 3 years in the same city, unless at the discretion of the Exhibition Committee who may permit 10% - 30% known women participants to participate for the Exhibition to be held in Mumbai so as to attract crowds to the Exhibition. For out of Mumbai Exhibitions it can go upto 50% so as to attract local buyers.

17.All participants shall follow all laws, rules and regulations laid down by any Government, Body or Authority as well as by the owners of the venue where the Exhibition is being held. If any damage is caused to the venue due to the action of the participants or their employees/helpers or the IMC Ladies’ Wing suffers any loss or becomes liable to pay any penalty or damage due to breach on the part of the participants, the same will be recovered from the participants.

18.The participants will ensure that their stalls and surrounding areas are kept clean at all times.

19.The participants alone will be responsible for their products and other belongings. The IMC Ladies’ Wing will not be responsible for any theft or damage or loss to life or property suffered by the participants or their employees/helpers.

20.If any participant/stall allottee fails to abide by or is found to be flouting any of the conditions above or any other Rules of the Exhibition, prior to start of the Exhibition, her allotment will be cancelled and the entire Participation Fee will stand forfeited. If the participant is found to be disregarding/disobeying any of the Rules during the Exhibition or such conduct is brought to the notice of the Exhibition Committee after the Exhibition, they will be barred from taking part in the Exhibition in future.

21. All the above listed points will be referred to as the IMC Ladies’ Wing Exhibition Rules and are binding on applicants/allottees/participants in the Exhibition.
